Summary/Objective

  • An exports/imports (EXIM) specialist plans, organizes and oversees shipments domestically and internationally.
  • EXIM specialist is accountable to get involved at the quotation stage of the project itself to suggest/decide on shipping, route, shipping cost and specific nuances of the country of import/export based on the category of the product.
  • They are responsible for pre-planning, shipment preparation, processing all required documentation and permits, maintaining records of all transactions, assessing the products’ qualities for import and export, and tracking shipments to ensure that they arrive at their destinations in a precise and timely manner.
  • An EXIM specialist must maintain proactive communication with the sourcing team, manufacturer & partners to ensure that all shipments adhere to the company’s standards and EXIM regulations both general and specific to the port of loading (POL) and all ports of discharge (POD).

Responsibilities

The following are the key responsibilities of EXIM specialist:

  • Actively follow market happenings and keep a track of all optimal & cost-effective routes for the origin and destinations Y-Not operate on.
  • Weekly: Maintain and report the sailing & air schedules & live costs for all the common origin and destination combinations
  • Weekly: Maintain and report the live lead times for all the common port of origin and destination combinations. Constantly work towards getting better on lead times and cost.
  • Maintain and communicate to cross functional teams the lead times involved in shipment preparation, documentation, booking, pick up, transit time, clearance, and door delivery.
  • Pro-actively get involved at quotation stage of the project itself to finalize the shipping from origin to destination. This would include but not limited to shipping route, special requirement, product packing, labelling, and documentation.
  • Communicate the packing, labelling and palletizing requirement in detail part of the PO, the details should be with clear drawings with no room for ambiguity.
  • Be well versed at HS codes, Schedule B and classify the product accurately. Effectively use the General Rules of Interpretation (GRI), General Notes and Trade Preference Provisions to correctly classify for advantageous duty rates while avoiding fines and other regulatory compliance problems. US Specific: Be well versed to use CBP on any doubtful areas.
  • Work along with sourcing team to understand the customer expectations and propose alternate shipping options with pros and cons & take the required shipping decisions.
  • Provide a reliable & accurate shipping costs during landed cost calculation by the sourcing team and at any stage of the project.
  • Maintain control and ensure regulations to all import and export processes and monitor work according to corporate and local policies and evaluate all new custom requirements and supervise everyday operations according to standard procedures.
  • Take ownership for all the documentation requirement both from manufacturer, customer, and Y-Not standpoint. Clearly communicate documentation requirement (right the first time) without any ambiguity. Maintain documentation requirement checklist for the standard categories and common origin and destination combinations for both sea and air.
  • Be a reliable and efficient interface with freight forwarders’ closely follow-up and ensure seamless experience for Y-Not internal and external customers.
  • Follow up on a weekly basis on shipment readiness on time to connect the shipment on time so that it will reach on time to customers. As it gets closer to the targeted date of shipment readiness, follow up on daily basis.
  • Take charge & ownership on seaworthy packaging & right labelling by following it up with sourcing team and manufacturer. Validate shipment readiness through video calls and pictures at Manufacturer end and no assumptions.
  • Take ownership on Track and Trace; Weekly: Keep a tab of current ETA of all the open shipments and keep them updated in internal records and communicate the same.
  • Proactively follow up at each stage during the finished goods readiness till it reaches customer and resolve all shipment issues right from shipment preparation till delivery to customer.
  • Perform all record keeping processes and maintain records of EXIM. Maintain Proof of delivery for all shipments with 10 years retention period.
  • Prepare & maintain Standard Operating Procedures (SOP’s) & work instructions (WI) to facilitate smooth functioning of shipping operations, ensuring conformance to Service Level Agreements.
  • Managing cost reduction activities by negotiating with Shipping Liners, CHA, Port Authorities and Transporters for reducing freight, detention & transportation rates
  • Management reporting (MIS) on transaction cost/ logistics cost etc. with a view to appraise top management also to stakeholders of the routine.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers.

Position Type and Expected Hours of Work

This is a full-time, salaried position. Office hours are Monday through Friday, 5:00 p.m. to 2:30 a.m. however, this position is responsible for communicating with our worldwide team and as such, frequently must perform duties outside traditional office hours, including daily meetings.

Travel

Travel based on urgent requirements only.

Required Education and Experience

  • Diversified knowledge in international logistics.
  • Preferably from the manufacturing industry.
  • Supply chain management
  • Experience working with Chinese freight forwarders.

Preferred Education and Experience

  • Any Degree in Exports / Imports as a specialization
  • Minimum 8 years of experience in International Logistics.
